South Bend Community School Corporation Deploys ArcMail Defender to Satisfy FRCP Archiving Requirements

Shreveport, La. – June 11, 2008 - In an effort to comply with new discovery amendments outlined in the Federal Rules of Civil Procedure (FRCP), network administrators at South Bend Community School Corporation (SBCSC) determined the organization needed to reevaluate its current email archiving practices. After reviewing a number of archiving solutions, the SBCSC deployed ArcMail Defender, a self contained, turnkey email archiving appliance that allows South Bend to retain electronic data so it can be produced quickly and easily in the event of discovery requests.

The Indiana school corporation has 3,100 employees and nearly 22,000 students across 38 locations. According to Patrick Stalvey, SBCSC's network administrator, compliance with the FRCP was the primary objective in implementing the ArcMail solution. He also indicated that ArcMail provided other key features that he was looking for in an archiving solution, including easy setup and configuration, low maintenance, and the capability of archiving more than 250,000 emails each day.

"Setup of ArcMail Defender was much easier than what we would have had to do with other vendors," added Stalvey. "The actual installation and setup took about 30 minutes, and there was no downtime while we switched archiving from the old solution to ArcMail. Compared to the other solutions we looked at, ArcMail Defender is also much easier to maintain. Other than checking the updates and stats, I really have no daily interaction with it. It just works."

The ArcMail Defender archive serves as a secure and complete record of all district communications and transactions conducted via email. This data is centrally stored on ArcMail Defender instead of taking up space on the district’s Exchange server. Email and attachments can be easily found and restored through the Web-based interface, but cannot be altered or deleted.

"Any organization that operates within the United States could potentially face litigation, and meeting FRCP guidelines will certainly incline the courts in their favor. And with the new Sunshine Laws that more states are adopting that require that most types of information be open to the public, it is important that data be archived and preserved," said Dean Richardson, vice president of sales for ArcMail Technology. "Failure to produce requested emails and attachments could result in fines that could prove costly to schools that operate on very tight budgets. Our archiving solutions make it easy and affordable for all sized organizations to meet the federal standards, while providing a solution that will make it easier for everyone to search, find and restore their archived emails."
